Jobs: Thank You and Acceptance Letter

Thank you letters are usually sent after an interview. Whether or not the job opportunity has been offered to you, it can help you make a favorable impression. Writing a thank you letter conveys appreciate for the person’s time and willingness to meet you. It is advisable to send this after your interview with human resource, search professionals or the hiring managers. You can use this as a venue to get closure on the next step, reinstate your interest in the job and further elaborate on a subject discussed during your interview.

Acceptance letters, on the other hand, are sent out after you receive the job offer. You can use this to reiterate agreed upon points or simply as a confirmation of acceptance and a statement of your start date.

When writing a post-job application and interview letter, you should consider the following:

  • Keep it short and simple. You don’t want to seem overly eager about being accepted, so don’t make it too long.
  • Use white space and bullet points if you want to reinforce some points that can be easily communicated. This also makes your letter easier to read.
  • Use words that sound like you are convinced that you would be able to make a great contribution to the company and will be an asset. “I feel certain…” and “I know…” are good sentence starters.
  • If you are interviewed by an HR personnel and a hiring manager, send separate letters to each one and vary the content a little bit.
  • Clarify any issues you may have through the post-interview letter.


Here is an example of a short and simple acceptance letter.

Dear <Addresee>;

I formally accept and thank you for your offer of employment as <position> at <company>. The arrangements you outlined in your offer dated <date of offer> are quite satisfactory.

I am excited about the opportunity to work with you and I look forward to joining the company on <start date>. Please let me know if there is any other information required or other matters we need to discuss prior to my start date.

Sincerely,
<your name>
